Building Resilience Through Managed Backup and Disaster Recovery

Formation Tech were engaged to deliver a strategic review of the customer's backup and recovery position across Microsoft 365 and the server estate. The engagement resulted in the deployment of an Acronis-based managed backup and disaster recovery solution, underpinned by immutable storage and independent recovery zones, giving the business confidence in both the protection and the recoverability of its critical data.

Challenges

An Unknown Recovery Position

The customer had taken a strategic review of their Microsoft 365 and server estate and reached an uncomfortable conclusion: the recovery time for their servers was effectively unknown. What was clear, however, was that any meaningful outage would carry significant operational impact across the business.

At the same time, the organisation was relying on Microsoft 365 itself to back up its Microsoft assets, an arrangement that runs counter to NCSC best practice, which advises against backing up data to the same supplier environment in which it is actively used. The risk profile of that arrangement, combined with the lack of clarity around server recovery, made it clear that the existing approach needed to change.

A number of the servers in scope supported critical business applications. For these systems, simple backup was not enough; the business required genuine disaster recovery functionality, with the ability to recover quickly and predictably in the event of a major incident.

 

Solution

A Managed Backup and Disaster Recovery Service

Formation Tech were engaged to provide a strategic review of how the customer's data should be backed up, secured and managed across the environment. The review took both the technical and operational dimensions into account, drawing on NCSC best practice and the known risks of single-supplier dependency.

The engagement resulted in the deployment of an Acronis solution as the backup foundation. Acronis was selected for the immutability of its storage, providing the customer with confidence that backups could not be tampered with or encrypted by an attacker, backup as a credible first point of defence and first point of recovery.

On further consultation and investigation, it became clear that while certain server data could be backed up, recovery times mattered as much as the backup itself. If data wasn't recovered within a critical period, the operational impact would be significant regardless of how well it had been protected. Formation Tech responded with a layered solution: a managed service to help design, execute and monitor the backup environment, providing resource as and when required, alongside a disaster recovery solution capable of spinning data up into separate data centres with immediate effect.

Importantly, those recovery data centres are Acronis zones, independent of the hyperscale environments many businesses rely on, such as Azure and AWS. That independence matters: it means the customer's ability to recover does not sit within the same risk perimeter as the production environment it is designed to protect.

Outcomes

A Resilient, Managed Recovery Position

The customer now has a recovery position that is both defined and demonstrably resilient. Core data, across Microsoft 365 and the wider server estate, is backed up to immutable storage, removed from the supplier environment it serves, and underpinned by recovery infrastructure that sits in its own independent zones.

For the critical business applications in scope, the disaster recovery solution provides the ability to spin systems back up in separate data centres with immediate effect, transforming an unknown recovery time into a tested and managed capability. The managed service component means the customer is not carrying the operational burden of running the environment day-to-day; Formation Tech provides the design, execution and monitoring as part of the ongoing relationship.

More broadly, the case illustrates how backup, recovery and managed service capabilities work best when treated as a single discipline rather than three separate purchases. By aligning to NCSC best practice, decoupling recovery from the production environment, and putting an experienced team behind the configuration and monitoring, the customer has moved from an exposed position to one of genuine operational resilience.
